Scheduling & Running Board Meetings

Governance Updated 4 days ago

Why Regular Meetings Matter

Board meetings are where decisions get made — budgets approved, policies updated, maintenance planned, and community concerns addressed. Regular, well-documented meetings are a hallmark of good governance and a key factor in your Building Score.

Creating a Meeting

Navigate to Meetings in the sidebar and click New Meeting. You'll enter:

  • Meeting date and time — when the meeting will take place.
  • Location — physical address or virtual meeting link.
  • Meeting type — regular board meeting, annual meeting, special meeting, etc.
  • Agenda — outline the topics to be discussed. A clear agenda keeps meetings focused and productive.

During the Meeting

Use the meeting page to track attendance and take notes in real time. As agenda items are discussed and decisions made, record them directly in Nestingbird so nothing is lost.

After the Meeting

Finalize your meeting minutes and they'll be stored as a permanent record. Board members and homeowners (depending on your visibility settings) can access past meeting minutes at any time. Consistent meeting documentation builds trust and demonstrates good governance to your community.

Meeting Reminders

On the Insights plan or above, meeting reminders are enabled by default on a quarterly cadence. You can adjust the frequency (monthly, quarterly, or bi-annually) or disable them entirely under Settings.

Plan Requirement

Meeting minutes are available on all plans, including Basics. Automatic meeting reminders require Insights or above.
