Security & Privacy
Is it safe to connect my HOA bank account?
Yes. Bank connections use Plaid, the same service used by Venmo, Robinhood, and thousands of banks. Nestingbird gets read-only access to transaction data — we can never move money, initiate transfers, or see your login credentials.
Who can see my personal information?
Only board members and authorized users within your HOA can access your building's data. We never share personal information across buildings or with third parties for marketing. See our Privacy Policy for full details.
Where is my data stored?
All data is hosted on Fly.io infrastructure in the United States. Data is encrypted in transit with TLS 1.2+ and at rest with AES-256 encryption. We perform daily backups with automated failover.
Can I export or delete my data?
Yes. You can export your HOA's financial records, documents, and member data at any time. If you close your account, we delete or anonymize your personal information within 90 days, in accordance with our Privacy Policy.
Payments & Billing
How does the free Community plan make money?
The Community plan charges platform fees on online payments — 1.2% for card and 1% for ACH transactions. If your HOA doesn't collect payments online, the plan is completely free. Paper checks are always free to process manually.
Can owners pay by check?
Yes. Board treasurers can manually record check payments in the system at no cost. Platform fees only apply to online payments processed through Stripe.
How fast do owners receive payment confirmations?
Owners receive an email confirmation immediately after making an online payment. The payment appears on their ledger in real time.
What payment methods are supported?
Owners can pay assessments online using credit cards, debit cards, or ACH bank transfers. Board treasurers can also record offline payments like checks or cash.
Are assessments billed automatically?
On the Autopilot plan, monthly assessment invoices generate automatically based on your approved budget and each unit's ownership share. Owners receive email notifications with a link to pay online.
Getting Started
How long does it take to set up?
Most boards are up and running in under 30 minutes. Create an account, add your building details, invite board members, and upload your documents. Nestingbird handles the rest.
Can I import data from a spreadsheet?
Yes. You can import unit details and owner information via CSV upload during onboarding. Financial data imports automatically when you connect your bank account through Plaid.
Do I need board approval to sign up?
No. Any board member can create a free account and start exploring. You can invite the rest of your board once you're ready, and upgrade to Autopilot whenever you want.
How do I invite my board members?
Go to your Members page and send email invitations. Board members create their own accounts and get access to your building's dashboard, documents, and financial data based on their role.
Is there a free trial of Autopilot?
There's no time-limited trial, but the free Community plan lets you explore most features. When you're ready for automated collections, AI tools, and video conferencing, upgrade to Autopilot for $25/month.

What's the difference between Community and Autopilot?
Community is free forever and includes everything a self-managed board needs to run day-to-day — online assessment collection, manual invoicing, budgeting and reserves, meetings with minutes, board elections, document storage, Building Score, fines & violations, member request tickets, the Board Inbox, and limited AI (20 lifetime Ask Birdie responses, 1 free video meeting with AI minutes, 1 free 22.1 seller disclosure). Autopilot ($25/mo) layers on automation and removes the caps: automated accounting with rules-based categorization, automated recurring invoicing and collections, accrual-based financial reporting, a pre-filled 1120-H tax return PDF, unlimited Ask Birdie, unlimited video meetings, unlimited 22.1 disclosures, unlimited Document Mailbox imports, priority email support, and lower platform fees on online payments (1% card / 0.8% ACH vs. 1.2% / 1% on Community).
Can I set custom assessment amounts per unit?
Yes, on both Community and Autopilot. Regular assessments are calculated from each unit's ownership percentage in your approved budget. You can also create one-off special assessments with custom amounts that require board approval before they're issued.
Can I manage multiple buildings?
Each Nestingbird workspace currently supports one association, with unlimited residents and units at no extra cost. If you're a property manager or regional board that needs to oversee multiple buildings under a single login, email support@nestingbird.co — multi-association support is on the roadmap and we'd love to hear what you need.
Does Nestingbird handle maintenance requests?
Yes, on both Community and Autopilot. Residents submit maintenance requests through the member portal; the board sees every ticket in a shared queue, assigns priority, and tracks resolution to close. Building systems are tracked separately with service intervals and automated reminders, so inspections and insurance renewals don't slip through the cracks.
Data & Migration
Can I export my data?
Yes. Financial records, documents, member data, and reports can all be exported. We believe your data belongs to you.
What happens if I downgrade from Autopilot to Community?
All your data stays intact. You'll lose access to Autopilot features like automated collections, AI tools, and video conferencing, but your documents, financial history, and member records remain available on the Community plan.
How long do you keep my data?
We retain your data for as long as your account is active. If you close your account, personal information is deleted or anonymized within 90 days. Financial records may be retained up to seven years to comply with recordkeeping requirements.
Can I migrate from another HOA platform?
Yes. Export your data from your current platform and import it into Nestingbird. We support CSV imports for unit and owner data, and documents can be uploaded in bulk. Connect your bank account and financial history imports automatically.

How do I get help?
All users can reach us at support@nestingbird.co. Autopilot subscribers get priority email support with faster response times. We also have a Knowledge Base with guides and how-to articles.
Do you offer onboarding or training?
Enterprise customers receive dedicated onboarding. For Community and Autopilot users, our Knowledge Base and in-app guidance help you get started quickly. You can also email us with questions anytime.
How do I report a bug?
Email support@nestingbird.co with a description of what happened and any screenshots. We investigate every report and typically respond within one business day.
Can I request a feature?
Absolutely. Email support@nestingbird.co with your idea. Many of Nestingbird's features came directly from board member feedback.
