How AI Organizes Your Documents

When you upload a document to Nestingbird — whether by dragging it into the Dashboard or forwarding it to your account's Document Mailbox — a series of automated steps kick in to make that document searchable, classified, and useful.
Step 1: Text Extraction
Nestingbird extracts the full text content from your document. This works with PDFs, Word documents, and image files. The extracted text becomes the foundation for everything that follows.
Step 2: Automatic Classification
Once the text is extracted, Nestingbird identifies what type of document it is — bylaws, insurance policy, meeting minutes, financial statement, inspection report, or other common HOA document types. This classification determines where the document is filed and how it's used across the platform.
For example, an insurance policy will be recognized and linked to your insurance tracking, while meeting minutes will be filed under governance records.
Step 3: Key Detail Extraction
Beyond classification, Nestingbird pulls out specific details depending on the document type:
- Insurance policies — policy number, carrier, expiration date, coverage details.
- Inspection reports — referenced building systems, findings, recommended actions.
- Declarations — unit numbers and ownership percentages.
- Financial statements — account balances, date ranges, key figures.
These extracted details populate fields across the platform automatically, reducing manual data entry.
Step 4: Embedding for AI Search
The document text is converted into a mathematical representation (called an embedding) and stored securely on Nestingbird's own servers. This embedding allows the AI chat assistant to search across all your documents when you ask questions.
For example, you could ask "What does our bylaws say about rental restrictions?" and the assistant will find and quote the relevant section — even from a 50-page PDF you uploaded months ago.
Using the AI Chat Assistant
The chat assistant uses your embedded documents as its knowledge base. It can answer questions about your governing documents, summarize sections, compare policies, and surface relevant information when you need it. The more documents you upload, the more useful the assistant becomes.
Important: the AI assistant provides helpful summaries and references, but it's not a substitute for reading your actual governing documents or obtaining professional legal advice.
Privacy and Security
Your document text is processed using OpenAI's embedding API, but OpenAI does not retain your content for training purposes under Nestingbird's API agreement. The resulting embeddings and original text are stored on Nestingbird's own infrastructure. For full details, see our Privacy Policy.
Plan Requirement
Document uploads and automatic processing are available on all plans, including Basics. The AI chat assistant requires the Good Standing plan or above.
