Why Upload Inspection Reports?
Building inspections — structural, fire safety, elevator, energy audits — generate detailed reports full of findings, recommendations, and compliance requirements. Storing these reports in Nestingbird keeps them accessible to your entire board and creates a documented history of your building's condition over time.
How to Upload
Navigate to Dashboard > HOA Documents and upload your inspection report. Nestingbird accepts PDF, Word, and image files. Select the appropriate document type and add any notes about the inspection date, inspector, or scope.
You can also forward inspection reports directly to your account's Document Mailbox — just email the report as an attachment and Nestingbird will import and process it automatically. This is a great option when you receive reports from inspectors via email.
Automatic Processing
When you upload an inspection report, Nestingbird processes the document to extract key information automatically. This can include:
- Identified building systems — references to specific systems (roofing, HVAC, plumbing, etc.) are recognized and can be suggested for your building systems inventory.
- Findings and recommendations — critical issues, maintenance recommendations, and compliance items are surfaced so nothing gets buried in a 50-page PDF.
- Follow-up items — action items that may need board attention or vendor scheduling.
From Inspection to Action
Use inspection findings to inform your capital project planning and maintenance schedules. If an inspection reveals that the roof has 5 years of remaining life, add a roof replacement capital project with a target year. This kind of data-driven planning is what separates well-managed associations from reactive ones.
